The Immigrations/Travel Desk Executive provides high-level administrative, immigration, and travel coordination support to the C-Suite Executive. The role ensures seamless processing of immigration documentation, efficient travel arrangements, effective telecommunication vendor management, and strict confidentiality in all executive engagements.

Key Requirements

  • HND/B.Sc. in business administration, Secretarial Studies, or a related field.

  • 3–5 years of experience in immigration management, travel desk operations, or administrative support.

  • Strong knowledge of immigration processes, documentation requirements, and vendor contract management.

  • Excellent verbal and written communication skills.

  • High proficiency in MS Office Suite (Word, Excel, PowerPoint) and digital communication tools.

  • Ability to manage highly confidential information with professionalism and discretion.

  • Negotiation and vendor management experience, especially with telecom and immigration service providers.

 

Key Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate comprehensive travel arrangements, including visa and immigration documentation.

  • Liaise with immigration service providers to ensure timely processing of work permits, visas, quotas, and compliance with regulatory requirements.

  • Track, report, and manage CERPAC permits, ensuring renewals follow approved processes.

  • Oversee contracts, service agreements, and account management with telecommunication service providers to maintain seamless connectivity.

  • Prepare, review, and format executive correspondence, reports, and presentations for decision-making.

  • Maintain accurate, up-to-date, and confidential records, including immigration files and sensitive executive documents.

  • Reconcile travel desk expenses monthly to establish accurate balances and payables to consultants.

  • Manage expatriates’ and family medical insurance coverage, including cost control, monthly bill reconciliation, and liaison with hospitals for verification when required.

  • Ensure timely filing, renewal, and retrieval of immigration-related documents and quotas.

  • Support executives with special administrative tasks as delegated.
